Position Title: 
Alumni Relations Officer (COM2C)
Position Summary: 
Reporting to the Director, Alumni Communities, the Alumni Officer, Alumni Communities builds strong relationships with donors, alumni, volunteers and other communities of interest in key regions through the development and implementation of strategies to maximize philanthropic support and increase alumni involvement with the University.
Primary Responsibilities: 
  • Provide professional expertise and advice to UA by participating in the development of long-term and annual engagement plans and programs that are data-driven and donor-centric in a specific region.
  • Plan, implement and monitor engagement plans in response to UA and Faculty-based needs and the University's overall objectives. Supervise regional volunteers and projects and provide status reports.
  • Provide a liaison function between central UA and the Faculties and act as liaison to strengthen relationships between alumni and the Faculties.
  • Identify, research, and cultivate prospective donors and develop solicitation strategies. Interpret, analyse, and report on information related to donors.
  • Generate materials and correspondence promoting the needs of the University at fundraising, public relations and special events or for dissemination.
  • Participate in overall strategies regarding fundraising, business relations, public relations, special events, alumni relations, cultivation and stewardship activities for identified region.
  • Provide guidance and advice to Faculty-based colleagues in alumni engagement best practices at all levels and stages.
  • Enable development colleagues to cultivate and steward relationships with new and existing donors through strategic engagement programming.
  • Represent the University at one-on-one meetings in the regions with donors/prospects/volunteers and when appropriate solicit gifts from these donors and provide a follow-up plan according to established guidelines including coordinating with colleagues in UA.
  • Build and maintain relationships with prospects, donors and volunteers through programming and by other means such as one-to-one meetings and phone contact; identify and engage alumni of influence. Qualify prospects to determine inclination and capacity, and feed the annual fund and major gift pipeline as well as identify prospective influencers and volunteers.
  • Makes asks for McGill Annual Fund Gifts and passes leads to the appropriate development programs as required. Maintain current contact reports for all prospect activity.
  • Understand McGill University’s overall and key fundraising priorities, in order to be an effective ambassador for the University and its fundraising programs.
  • Manage budget allocations for programmatic endeavors in identified regions.
  • Develop and implement communication strategies for programs, ensuring that appropriate McGill messaging is conveyed.
  • Act as advisor to local MAA volunteers, providing them with guidance and advice in relation to their programming.
  • Participate in the development and implementation of new initiatives that support the strategic direction of a faculty/unit by keeping abreast of new developments and trends in the field of alumni relations and fundraising.
  • Represent McGill and unit at internal and/or external meetings.
Minimum Education & Experience: 

Undergraduate degree

Three (3) years' related experience

Other Qualifying Skills And/Or Abilities: 
Proven track record in the qualification & cultivation of alumni and in the development and implementation of alumni relations programs. Must be results-driven, a self-starter and highly motivated with a leadership and interpersonal style that fosters constructive and productive relationships with diverse constituencies. Experience in program development, marketing and project management. Experience in volunteer management. Ability to analyze and read data, determining and acting on trends. Previous experience in a fundraising environment is an asset. Must be client focused, with excellent organizational, listening, problem solving, planning, and priority setting skills. Demonstrated ability to work in a dynamic, fast paced environment and manage multiple projects within tightly prescribed timetables and shifting priorities. Demonstrated ability in a PC environment, proficient using MS Office (Excel, Word, Power Point) and client-server database software and sound knowledge of social media tools. Excellent verbal and written communication skills both in English and in French. As this position is responsible for the Montreal, Calgary and Vancouver regions, travel may be required.
